How do I start my 14-day free trial?
Click "Start free trial" on the home page. Enter your name, email, company name, and password — no credit card required. Your 14-day trial begins immediately. You get full access to the Team plan during the trial, including up to 15 users, IVY AI, analytics, and all 14+ assembly types.
Can I try the app without signing up?
Yes. Use our built-in demo accounts at /app:

What's the first thing I should set up?
We recommend this order:
  1. Settings → Assembly Pricing — set your $/SF rate for each insulation type (owner/manager only). This drives all estimates.
  2. Invite your team — Settings → Users → Invite. Assign roles (salesperson, crew leader).
  3. Add your first customer — CRM → Add Customer.
  4. Create an estimate — Estimating → New Estimate → select customer → enter SF.
  5. Connect payments — Settings → Payments → Connect to enable digital invoicing and payment collection.
Which plan should I choose?
  • Solo ($89/mo): Just you and one other user. Perfect for owner-operators.
  • Team ($179/mo): Best for most companies — up to 15 users, full analytics, inventory, crew pack lists, and priority support.
  • Growth ($329/mo): Multi-location companies and those needing QuickBooks sync or API access.
  • Enterprise ($549/mo): White-label, dedicated account manager, custom integrations, SLA.
Start with the Team plan trial — if you only need Solo features, downgrade after.
Can I import my existing customer list?
Yes. On the Growth and Enterprise plans, free data migration is included during onboarding. We support CSV import for customers, estimates, and job history. Email support@insulatoros.com to schedule your migration session.
Does InsulatorOS work on mobile?
Yes. InsulatorOS is a fully responsive web app that works on any smartphone or tablet browser — no app store download needed. We optimized the estimating and scheduling views for field use on a phone. Crew leaders can update job status directly from the job site.
📋 Estimating & Quotes
How does estimating work in InsulatorOS?
Estimating is SF-based. Your owner or manager sets a $/SF price for each assembly type once in Settings. When a salesperson creates an estimate, they select the assembly type and enter the square footage — the system calculates the price automatically. Salespeople never see or change the $/SF rates.
What assembly types are supported?
The Team plan supports 14 assembly types including: Open-cell spray foam (walls, attic, crawlspace), Closed-cell spray foam (walls, roof deck, rim joist), Fiberglass batts (R-13, R-19, R-30, R-38), Blown cellulose (attic, walls), and Fiberglass blown-in. Custom assembly types can be created on Growth and Enterprise plans.
Can I add multiple line items (zones) to one estimate?
Yes. An estimate can have multiple zones — for example, "Attic: open-cell, 1,200 SF" plus "Rim joist: closed-cell, 180 SF" plus "Crawlspace: closed-cell, 400 SF." The estimate summary shows line items by zone and a total. Each zone can have its own assembly type, R-value, and thickness notes.
Can I convert an estimate directly to an invoice?
Yes. From any accepted estimate, click "Convert to Invoice." The customer information and line items carry over. You can add a deposit amount and set due date terms. The invoice can then be sent as a payment link via email or SMS, or collected in person.
How do I send an estimate to a customer?
Open the estimate and click "Send to Customer." InsulatorOS generates a PDF-ready view that can be emailed directly from the app. The customer receives a clean, branded estimate with your company name, line items, and total. They can accept or request changes via reply.
Who can change the $/SF pricing rates?
Only Owner and Manager roles can change $/SF rates in Settings → Assembly Pricing. Salespeople and crew leaders see the finished estimate dollar amounts but cannot see or modify the underlying rate. This protects your pricing strategy.
Can IVY help me build an estimate?
Yes. Ask IVY questions like "What R-value do I need for a 2x6 wall in Arkansas?" or "How many board-feet of open-cell does a 1,000 SF attic need at 5.5 inches?" IVY knows foam set math and will walk you through the calculation. It won't fill in the estimate form for you, but it gives you the numbers to enter.

What does the foam calculator compute?
The foam calculator converts square footage and desired thickness into board-feet (BF) and then into supplier sets (either your supplier). It accounts for overage (typically 10–15%) and shows you exactly how many sets to order. It does not show dollar amounts — pricing is managed separately in estimating.
What's the difference between an supplier set and an supplier set?
open-cell and closed-cell suppliers are two of the major spray foam suppliers. Their sets have different board-foot yields:
  • open-cell supplier: approximately 18,000 BF per set
  • closed-cell supplier: approximately 6,300 BF per set
  • open-cell supplier: approximately 17,500 BF per set
  • closed-cell supplier: approximately 6,000 BF per set
Exact yields vary by product line — always verify with your current supplier spec sheet.
What overage percentage should I use?
Most experienced crews budget 10–12% overage for open-cell (it's forgiving) and 15–20% for closed-cell (more expensive to be short and re-spray). Thicker applications and tight spaces may need more. The calculator defaults to 12% — you can adjust it per job.
How do I calculate board-feet manually?
Board-feet = Square Feet × Thickness (inches) ÷ 12. So a 1,000 SF wall at 3.5" = 1,000 × 3.5 ÷ 12 = 291.7 BF. Add your overage on top. The calculator handles this automatically, but knowing the formula helps when IVY gives you a quick verbal answer.
Can I save a foam calculation to a job?
Yes. After running the calculation, click "Attach to Job" to link it to an existing job record. The attached calculation appears in the crew pack list so your foam tech knows exactly what to load. Crew leaders can view this from their mobile device on-site.
💳 Billing & Payments
How do I accept payments from customers?
Go to Settings → Payments → Connect. You'll be walked through connecting your bank account through our secure payments partner (takes ~5 minutes). Once connected, every invoice you create gets a payment link. Customers can pay by card or ACH bank transfer. Funds are deposited to your bank account within 1–2 business days.
What are the payment processing fees?
  • Card payments: 3.5% + $0.30 per transaction (all-in)
  • ACH bank transfer: 1% per transaction, capped at $10 (all-in)
These are single all-in rates — no separate add-on fees. You can choose to absorb them or pass them through to your customer — toggle this in invoicing settings per invoice.
How do I cancel my subscription?
Go to Settings → Billing → Cancel Subscription. Your account stays active through the end of the current billing period. After cancellation, you have 90 days to export your data before it is permanently deleted. We're sorry to see you go — email support@insulatoros.com and we'll see if there's anything we can fix.
Can I get a refund?
If you cancel within the first 30 days of a paid subscription and are unsatisfied, contact us and we'll issue a full refund. After 30 days, we don't issue refunds for partial billing periods, but we'll always work with you if there's been a billing error or extenuating circumstance.
How do I upgrade or downgrade my plan?
Go to Settings → Billing → Change Plan. Upgrades take effect immediately and you'll be charged a prorated amount for the remainder of the billing period. Downgrades take effect at the next billing cycle.
Does InsulatorOS sync with QuickBooks?
QuickBooks sync is available on the Growth plan ($329/mo) and above. It syncs invoices, payments received, and customer records to your QuickBooks Online account. The sync runs automatically every night and can be triggered manually from Settings.

What is IVY?
IVY (Insulation Virtual Assistant) is an AI assistant trained specifically on insulation contracting. It knows foam set math, common building codes, R-value requirements by climate zone, material estimating, and how to explain pricing to customers. It's powered by Anthropic Claude and is available on all plans, 24/7.
What can I ask IVY?
Good things to ask IVY:
  • "How many supplier sets do I need for 2,400 SF of attic at 10 inches open-cell?"
  • "What's the IRC minimum R-value for an unvented attic in Climate Zone 3?"
  • "How do I explain the difference between open-cell and closed-cell to a homeowner?"
  • "A customer says our price is too high — what should I say?"
  • "What questions should I ask on a sales call for a commercial spray foam job?"
Is IVY's advice accurate?
IVY is highly accurate on insulation-specific topics. However, it's an AI — for anything involving safety, building permits, or legal compliance, always verify with your local building authority or a licensed professional. IVY will tell you when to seek a second opinion.
Are my IVY conversations private?
Yes. Conversations are scoped to your company account. They are not visible to other companies. Conversations are logged for product improvement with PII (personally identifiable information) removed before processing. See our Privacy Policy for details.

How do I invite a team member?
Go to Settings → Users → Invite Member. Enter their email and select their role. They'll receive an email with a secure invite link that expires in 48 hours. They set their own password during signup.
Can I change a user's role after they've signed up?
Yes. Owners and Managers can go to Settings → Users, click any team member, and change their role. The change takes effect immediately on their next page load. Use this if a salesperson gets promoted to manager.
How do I remove a user who left the company?
Go to Settings → Users, find the user, and click "Deactivate." This immediately invalidates their login token. Their historical records (estimates, jobs they created) are preserved. On the Solo plan, deactivating a user frees up a seat for a new invite.
How many users can I have?
Solo plan: up to 2 users. Team: up to 15 users. Growth: up to 30 users. Enterprise: up to 150 users. There's no per-user charge on any plan — one flat monthly rate covers your whole team.
